1. Vehicle Onboarding and Document Submission

The onboarding process starts with submitting key documents to ensure the vehicle complies with legal and operational standards. The essential requirements include:

Vehicle Registration to confirm legal ownership.
Valid Insurance coverage that meets the required minimum for both the vehicle and its passengers.
eTims Compliance for accurate and tax-compliant transactions.
Road Service License to ensure the vehicle is licensed for commercial use.
TSV License for Drivers to confirm the driver’s authorization to operate public service vehicles.
Drivers must have at least 7 years of driving experience, particularly on long-distance routes. Once these documents are submitted, the platform evaluates the vehicle to ensure it meets all the criteria necessary for safe and reliable transportation for tourists.

2. Vehicle Inspection

After passing the documentation review, the vehicle undergoes a comprehensive safari-ready inspection. This involves:

Mechanical Checks, including engine, brakes, and suspension assessments to ensure the vehicle is capable of handling long journeys and uneven terrain.
Tire Condition and Spare Tires, including off-road tire readiness for rough terrains.
Safety Features, such as seatbelts, airbags, and fire extinguishers, to ensure passenger safety.
Interior Comfort checks for features like air conditioning, seating comfort, and storage for safari gear.
4WD Capability Testing for Land Cruisers, focusing on their ability to navigate unpaved, muddy roads in regions like Mara North and the Mara Triangle.

Once the vehicle passes inspection, it is listed on the MasaiMara.ke platform. This includes:

Uploading high-resolution photos that showcase the vehicle’s features.
Providing detailed descriptions of the vehicle’s seating capacity, special modifications (e.g., pop-up roofs for game drives), and the best uses for the vehicle.
Clearly stating rental prices, taking into account the type of vehicle (2WD vs. 4WD), and seasonal rates.
At this stage, the vehicle becomes visible and bookable by potential customers on the platform.

4. Accepting Bookings

After being listed, the vehicle is ready to accept bookings from travelers. The platform ensures:

Real-time availability management to prevent scheduling conflicts.
Secure payment options for both deposits and full payments.
Instant booking confirmations sent to both the customer and the vehicle owner, ensuring seamless coordination for airport transfers or safari trips.

5. Seamless Coordination and Ongoing Support

Logistical coordination and seamless operations:

Ensures vehicles and guides are ready for safaris with proper pre-trip checks, while managing all logistics for a smooth experience.
